Terms and Conditions

| Travel Retreats urges you to read through and understand the basis on which we make this tour offer. We usually only feature 5 star and unique properties. Planning a good holiday takes time and it is important to us that you understand the basis of our offer. This includes the terms and conditions of the various service providers, including insurance limits and what the indicative price stated includes. Travel Retreats prices are based in such a way as to ensure that you are not surprised by any extras on tour other than those expenses of a personal nature and optional extras. Examples of some expenses of a personal nature are laundry, telephone
calls, and mini bar. Examples of optional extras to the tour are additional excursion options pre-booked by you and extra personal mileage on your vehicle, over and above the standard tour routing
kilometers/mileage. We do not believe that you should be surprised with ‘extras’ that you thought were included in the price quoted.

Respect your Privacy
Travel Retreats sometimes collects personal information necessary to respond to your requests for our customised products and services and to allow you to use the resources available on our website. Personal information includes, but is not limited to, name, physical address, email address, phone number and any other information that itself identifies or, when tied to the above information, may identify you as a specific individual.
Travel Retreats is committed to our client’s privacy and security and to taking steps designed to secure your personal and financial information. We believe your private details should be kept just that and when you share personal information with us, we will make all reasonable endeavours to keep your details secure and private.
As a user or customer, you will occasionally receive email updates from us about changes or additions to Travel Retreats and other noteworthy news items. We hope you will find these updates interesting and informative. Of course, if you would rather not receive them, you may unsubscribe at any time.
Although our preferred local suppliers have privacy policies in accordance with the New Privacy Laws, you accept that some third parties can be located overseas eg hotels, car rental companies, etc, and may not have in place equivalent privacy policies.

Tours
are offered based on the following Terms and Conditions:
1. Tour price
Your tour is priced based on general rates for the immediate season and can also change depending on the period chosen within the season & types of rooms that are selected by you and are therefore only indicative of a general price range. The price quoted therefore is NOT the actual price, and will vary depending on your personal requirements.
(a) Accommodation is priced on a per person rate on bed & breakfast basis, for a room being shared by a couple. Single occupancy rates are higher than the per person twin share rate>
We do not usually recommend full board rates as you are on tour and away from the hotel during the day. We keep dinner plans flexible for you to decide when and where to eat.
(b) Transportation- is priced on an air-conditioned car. This includes the cost of a Chauffeur Guide when on tour or transfers. This rate is therefore the same for a couple or single occupant. Family vans are available on request. (All options are available in the next stage of booking to arrive at a final price)
(c) Tour specific fees are costed in
- Golf Tours
Green and caddie fees have been included in the price for golfing indicated in the tour. Availability of caddies cannot be guaranteed, but every effort will be made by the Company to reserve the services of a caddy. Golf carts are available in some courses and must be booked at the course and the golfer makes payment directly to the club. (Price not included due to no pre-booking)
- Wildlife, Great Outdoors tours
Entrance fees to Game Parks, and tracker fees are included. Trackers are assigned on arrival at the Game Park. On occasion trackers are unavailable due demand and you may have to wait a while.
- Cultural tours/city tours
Cultural Triangle fees are costed in for all heritage sites, Royal Botanical Gardens, Museums, and other fees as applicable for entrance to sites on tour.

Taxes
Price includes applicable Government taxes in the country you are visiting for accommodation and transport. Any subsequent changes to the applicable tax structures will directly affect the price payable and will be passed on to the consumer after notification.
3. Payment and confirmation of bookings
(a) Bookings confirmed prior to 1 month of arrival (30 days and over 30 days before start of holiday)-
Bookings once confirmed require a (minimum) payment of an advance of 50% of Tour price and balance payment made in time to reach us by the latest a thirty (30) days prior to your arrival at destination. On occasion during peak periods, part payment may be requested from hotels that are confirmed on your itinerary.
NOTE -If full payment has been made it will not be subject to any subsequent changes in prices and fees. Increase in taxes will be passed on even after confirmation however as this is beyond our control. Any delayed receipt of payment would result in cancellation of bookings.
(b) Bookings made within the month of arrival. (Within 30 days of start of holiday)
For bookings made within the month of arrival full payment on confirmation of tour and prior to arrival is required. Cancellation dates will be advised based on hotel confirmation and policy.
4.Bookings not confirmed
It is seldom that all your bookings are confirmed at once. Hotels do not confirm bookings on occasion when they are full and we will offer you alternatives at this stage. If we feel subsequently that your entire booking is not going to be confirmed due to heavy demand and no suitable options are available either, we will refund any payments made in full.
5.Part confirmed bookings
We will keep you updated on confirmations received as and when they are confirmed by the properties selected by you. Refund is made on your request or when we feel there is little chance of your entire booking being confirmed for the properties that were confirmed on tour and where you had to make a part payment.
6. Refunds & Service
fee
A service fee of USD 50 is retained in the event of a cancellation effected by the client after confirmation in addition to any hotel cancellation levies. Hotel cancellations apply 1 month before arrival date unless specified otherwise.
After commencement of tour -There are no refunds made on any unused portions of the confirmed tour.
7. Insurance and Travel advisories
Insurance is limited to general risk insurance cover provided by the Hotel whilst within the hotel premises; and transport operator whilst
traveling or inside the vehicle assigned on tour. Please note – NO INSURANCE COVER IS PROVIDED FOR GENERAL PUBLIC
LIABILITY, TERRORISM OR NATURAL DISASTERS. Please inquire from us for details of your insurance cover limits in the properties you are staying at, if required.
You are urged to check with your country’s travel advisories and take adequate travel personal insurance and avoid areas that have travel advisories warning
travelers against visiting. The FAQ lists the local consulates/embassies for the country you are planning to visit in the various countries.
8. General
The Company reserves the right to cancel change or substitute any service due to unexpected operational and other reasons at any stage of the tour and will advise you of the reasons for having to do so.
